A multi-User Phone-In Dictation Appliance

Our MARS system with phone-in dictation application is a small and inexpensive appliance designed to record dictations using normal telephones and to deliver the recordings to the transcriptionist(s) over the Internet.

The system can be used with a VoIP 'line' to allow callers to record from any telephone or mobile just by dialing a normal telephone number.
Many VoIP provider can provide cheap nation wide 800 phone numbers so you can offer the service to client in the whole country without long distance charges.

When the system is located at the same location than the callers, it can also be used with locally attached VoIP telephone (or softphone on a PC or conventional phone with an ATA adapter or even WI-FI VoIP phones)
connected as extension through the LAN (or up to 4 phone on the appliance own 4 LAN ports).

Up to 32 different recipients mailboxes can be defined so the system can be used to provide the service to other transcriptionists. Callers are guided by an interactive voice response menus to record and playback their dictations.
Recordings can be interrupted and resumed at a later time. Playback with rewind, pause and fast forward.

Up to 32 callers account can be defined. These can be assigned a fixed destination mailboxes or the mailbox be selected by the caller.

The dictation recordings are deliverered by email with a WAV file attachment compatible with most player software running under windows.
Recordings can also be retrieved locally from the appliance by using a web browser.

The MARS system is a full featured office telephone system (PBX)embedded in a commercial router running the Linux OS. Just connect to a broadband modem (Cable/ADSL) and you can share internet and telephony resources with up to 8 telephones extensions / computers.

Do you need ELECTRONIC SIGNATURES? Web-based document management?

Have the 'big-guy' transcription companies (off shore ones especially) taken business from you because you can't afford to offer web-based dictation and report management with tracking and audit trails and detailed reporting with automatic line counting?

Example of our service: Olympus recorder downloads DS-4000 DSS files with first four letters of the dictator's name in the file name, work type embedded. From this point on there will be an audit trail and tracking of: files going up to the web-portal, being assigned manually or automatically to designated transcription pool(s) or transcriptionist(s), then when checked out by a transcriptionist (with work type templates automatically attached to the voice files!). When the report is typed (need Word 2007 for electronic sigs), the document is saved back to the portal, marked as ready for QA sequence, or for the dictator's electronic signature). Your doctor s then sign on, read and approve their reports (some as you know will have their trusted transcription managers do this - not recommened - but have to be real here), sign it off with encrypted certificates for HIPPA and JACO compliance. This 'electronically' locks their document with graphic jpeg signature and a date-time stamp for legal (chain of custody) compliance.

At this point, If dictators have requested that a 'cc' be sent to other doctors, and we have those doctor s FAX numbers or e-mail addresses in the database, the copy is automatically sent out, greatly reducing workloads.

If a dictator needs to reopen and add to a report, the original signature is invalidated and a new one inserted, indicating that the report has been changed, flagging the added text. Web-based document management is the first step in EMR/EHR and may even qualify as the first and simpelist level for the coming mandated EMR compliance!

We also work with DVI file formats and can even provide you up to a 16-port, new, call-in system (get rid of DVI support contracts) to accompany our web-based document management services.
